What different types of credit memo notifications can you send via InvoiceOwl software?

InvoiceOwl lets you send credit memo notifications to your clients in several ways:

Send via Email:

  1. Open the credit memo detail page by clicking on it from the Credit Memos list in the left sidebar.
  2. For a draft credit memo, click the Send button in the right side panel.
  3. A send dialog opens where you can enter the recipient email address, customize the message, and choose whether to CC yourself.
  4. Click Send to deliver the credit memo by email.

Send via the More Actions menu:

  1. Open the credit memo detail page.
  2. Click the More Actions button in the right side panel.
  3. Choose Send via Email or Send via Text from the dropdown.

Mark as Sent:

If you already delivered the credit memo outside of InvoiceOwl (for example, you handed it to the client in person), you can update the status without sending an email:

  1. Open the credit memo detail page.
  2. Click the More Actions button.
  3. Select Mark as Sent. This changes the status from Draft to Awaiting Allocation.

Applying credit:

Once a credit memo is sent (status is Awaiting Allocation), you can apply the credit to outstanding invoices or quotes:

  1. Open the credit memo detail page.
  2. Click the Apply Credit button in the right side panel.
  3. Select the invoices or quotes you want to apply credit to and enter the amounts.
  4. Click Apply Credit to confirm.

You can view the full send history for any credit memo at the bottom of its detail page.

On the Mobile App

Send when creating:

  1. After filling in the credit memo details, tap Send Credit Memo at the bottom of the create screen instead of Save Draft.

Send from the detail screen:

  1. Tap the More tab, then tap Credit Memos, then tap the credit memo you want to send.
  2. Tap the Send button (available for draft credit memos).

Apply credit:

  1. Open a credit memo with the status Awaiting Allocation and remaining balance.
  2. Tap Apply Credit on the detail screen.
  3. Select the outstanding invoices or quotes you want to apply credit to. The maximum amount fills in automatically, but you can enter a custom amount.
  4. Tap Apply Credit to confirm.

Note: Mark as Sent, Send via Text, and Copy Link are not available on the mobile app. Use the web version for those options.
