Credit Memos

How to manage credit memo details?

You can view and manage all of your credit memo details from the detail page. Here is what you will find:

Viewing credit memo details:

  1. Click Credit Memos in the left sidebar.
  2. Click on any credit memo to open its detail page.
  3. The main area shows:
    • The credit memo number and status (Draft, Awaiting Allocation, Allocated, or Cancelled) at the top
    • The client name and company, with a link to view the full client profile
    • The issue date
    • How much credit has been used versus the total (for sent credit memos)
    • The full line items table with item name, type, quantity, rate, and amount
    • The totals section showing subtotal, markup (if any), taxes, and the credit total
    • A Credit Applied To section if credit has been allocated to invoices or quotes
    • A send history showing when and how the credit memo was sent

In the right side panel you will find:

  • Credit Remaining showing the available balance
  • Attachments with clickable links to download files
  • Note for Client (visible to the client)
  • Internal Notes (only visible to you, shown with a yellow background)

Actions available from the detail page:

  • Send -- Email the credit memo to your client (available for drafts)
  • Apply Credit -- Apply available credit to outstanding invoices or quotes
  • Edit -- Open the edit form to make changes
  • More Actions dropdown: Send via Email, Send via Text, Mark as Sent, Archive, or Delete
  • Copy Link -- Copy a shareable link (available for sent credit memos)

On the Mobile App

  1. Tap the More tab at the bottom of the screen, then tap Credit Memos under Documents.
  2. Tap any credit memo to open its detail screen.
  3. The detail screen shows:
    • The credit memo number and status badge (Draft, Awaiting Allocation, or Allocated) at the top
    • The total credit amount, with allocated and remaining balance
    • The client name (tap to view their full profile)
    • The credit memo date and tax mode
    • The full line items list with item name, type, quantity, rate, and amount
    • The totals section showing subtotal, markup, taxes, and total
    • Allocations showing which invoices or quotes the credit has been applied to (tap any to navigate to that document)
    • Note for Client and Internal Notes

Actions available on the detail screen:

  • Edit -- Open the edit form (available for drafts only)
  • Send -- Email the credit memo to your client (available for drafts)
  • Apply Credit -- Apply available credit to outstanding invoices or quotes (available when status is Awaiting Allocation and there is remaining balance)
  • Archive -- Archive a draft credit memo
  • Delete -- Delete the credit memo

Note: The More Actions dropdown, Copy Link, Mark as Sent, and Send via Text options are not available on the mobile app. Use the web version for those actions.
