How to send payment reminders?

InvoiceOwl can automatically send payment reminders to clients with unpaid invoices. You set the schedule once, and reminders go out on their own. No need to chase payments manually.

How to set up invoice payment reminders

  1. Click Settings in the left sidebar.
  2. Click Reminders.
  3. Turn on the Basic Reminders toggle to enable reminders.
  4. Under Invoice Reminders, check the boxes for the reminders you want:

Before due date

Check Before due date to send a reminder a set number of days before the invoice is due. Enter how many days before (for example, 3 days before the due date).

On due date

Check On due date to send a reminder on the morning of the due date.

Overdue follow-ups

Check Overdue follow-ups to send repeated reminders after an invoice is past due. Set how often (for example, every 7 days) and how many times (up to 5 times).

Choosing how reminders are sent

Under Delivery channel, pick how reminders go out:

  • Email only -- sends reminders by email (available on all plans)
  • SMS only -- sends reminders by text message (Premium plans only)
  • Email, then SMS -- starts with email, switches to SMS if no response (Premium plans only)
  • Both email & SMS -- sends both at the same time (Premium plans only)

Intelligent Reminders (Premium)

If you are on a Premium plan, you can turn on Intelligent Reminders. This uses AI to:

  • Send reminders at the best time for each client based on when they read emails
  • Automatically switch to SMS for clients who ignore emails
  • Skip reminders for clients who always pay on time
  • Write personalized reminder messages for each client

When Intelligent Reminders are turned on, the basic reminder settings are managed automatically.

When do reminders stop?

Reminders stop automatically when an invoice is paid. You do not need to turn them off yourself.

On the Mobile App

To set up invoice payment reminders from the mobile app:

  1. Tap the More tab.
  2. Tap Settings.
  3. Tap Reminders.
  4. Turn on Basic Reminders if it is not already on.
  5. Under Invoice Reminders, toggle the reminders you want:
  • Before due date -- tap the day selector to choose how many days before.
  • On due date -- toggle to send a reminder the morning of.
  • Overdue follow-ups -- tap the day selector for frequency and set the maximum number of reminders.

To change the delivery method, tap the Delivery Method picker near the top and choose from Email, SMS, Email then SMS, or Both (SMS options require a Premium plan).

Intelligent Reminders are also available on the mobile app for Premium users. You will see the option at the top of the Reminders screen. When turned on, AI manages the timing and delivery of all reminders automatically.
