How to manage Purchase Order details?

You can view and manage all of your purchase order details from the detail page. Here is what you will find:

Viewing purchase order details:

  1. Click Purchase Orders in the left sidebar.
  2. Click on any purchase order to open its detail page.
  3. The main area shows:
    • The PO number and status (Draft, Sent, or Accepted) at the top
    • The vendor name and company, with a link to view the full vendor profile
    • The issue date and current status
    • The full line items table with item name, description, quantity, rate, and amount
    • The totals section showing subtotal, markup (if any), and the total

In the right side panel you will find:

  • Order Total showing the full amount
  • Vendor Address (if provided)
  • Attachments with clickable links to download files
  • Note for Vendor (visible to the vendor)
  • Internal Notes (only visible to you, shown with a yellow background)

Actions available from the detail page:

  • Send -- Email the purchase order to your vendor (available for drafts)
  • Mark Accepted -- Mark a sent purchase order as accepted by the vendor
  • Archive -- Archive an accepted purchase order
  • Edit -- Open the edit form to make changes
  • More Actions dropdown: Send via Email, Send via Text, Mark as Sent, Mark Accepted, Archive, or Delete
  • Copy Link -- Copy a shareable link (available for sent purchase orders)

On the Mobile App

  1. Tap the More tab at the bottom of the screen, then tap Purchase Orders under Documents.
  2. Tap any purchase order to open its detail screen.
  3. The detail screen shows:
    • The PO number and status badge (Draft, Sent, or Accepted) at the top
    • The total amount
    • The vendor name (tap to view their full profile)
    • The issued date
    • The full line items list with item name, description, quantity, rate, and amount
    • The totals section showing subtotal, markup, shipping fee (if any), and total
    • Shipping details including ship date, carrier, and tracking number (if provided)
    • Note for Vendor and Internal Notes

Actions available on the detail screen:

  • Edit -- Open the edit form (available for drafts only)
  • Send -- Email the purchase order to your vendor (available for drafts)
  • Mark Accepted -- Mark a sent purchase order as accepted by the vendor
  • Archive -- Archive a draft purchase order
  • Delete -- Delete the purchase order

For sent purchase orders, you can view the PDF directly on the detail screen.

Note: The More Actions dropdown, Copy Link, Mark as Sent, and Send via Text options are not available on the mobile app. Use the web version for those actions.
