Adding line items to a purchase order is straightforward. Here is how:
Add an item from your catalog:
- Open the purchase order in edit mode. You will see a Line Items section with a table showing columns for Item, Qty, Rate, and Amount.
- Click on the Item name field in any empty row.
- As you type, a dropdown appears showing matching items from your saved catalog. Click on one to fill in the name, description, rate, and quantity automatically.
- Adjust the quantity or rate if needed. The amount calculates automatically.
Add a brand new item:
- Click on the Item name field in an empty row.
- At the top of the dropdown, click + add new item to catalog to create a new item and save it to your catalog for future use.
- Or simply type the item name, description, quantity, and rate directly into the fields.
Add more line items:
- Click the + Add item link at the bottom of the line items table to add another row.
Organize items into sections:
- Click the Add section button below the line items table.
- Each section can have its own name (like "Materials" or "Tools") and its own list of items.
- You can drag and drop items or sections to reorder them using the grip handle on the left side of each row.
Markup:
You can add a markup by clicking the markup value in the totals section below the line items. This opens a dialog where you can set a dollar amount or percentage markup, and choose which item types it applies to (all items, labor, parts, or other).
On the Mobile App
Add an item from your catalog:
- Open the purchase order in edit mode.
- Tap Add Item at the bottom of the line items list.
- Start typing the item name. Matching items from your saved catalog appear in a dropdown. Tap one to fill in the details automatically.
- Adjust the quantity or rate if needed.
Add a brand new item:
- Tap Add Item.
- Type a new item name, description, quantity, and rate directly into the fields.
Markup:
Tap the Markup row in the totals section to set a dollar amount or percentage markup, and choose which item types it applies to.
Note: Sections and drag-and-drop reordering are not available on the mobile app. Use the web version if you need to organize items into sections.
