How to add a new item?

You can create a new item using the following steps in InvoiceOwl:

  1. Click Catalog > Items in the left sidebar to open the Items page.
  2. Click the Add Item button in the top-right area of the page.
  3. A full-screen form will open. Fill in the following fields:
    • Item name (required) -- for example, "Oil Change" or "Brake Pads."
    • Unit price (required) -- the dollar amount for this item. You can use a negative number for discounts or coupons.
    • Item type -- choose Parts, Labor, or Other.
    • Quantity label -- optionally pick a unit label (like "Hours" or "Sq Ft") or click + Add new label to create one.
    • Description (optional) -- any extra details about the item.
    • Item code (optional) -- a short code for your own tracking, like "OC-001."
    • Default quantity -- the quantity that will be pre-filled when you add this item to an invoice (defaults to 1).
    • Default taxes -- check the boxes next to any taxes that should automatically apply to this item. You can also click + Add new tax to create a new tax right from this form.
  4. Click the Create Item button to save.

Your new item will now appear in the Items list and be available to add to invoices, estimates, and other documents.

On the Mobile App

  1. Tap the More tab at the bottom of the screen, then tap Catalog under the Manage section.
  2. Tap the + button in the top-right corner, then tap New Item.
  3. Fill in the item details:
    • Item Name (required) and Rate (required).
    • Code, Description, and Default Qty are optional.
    • Choose an Item Type: Parts / Products, Labor, or Other.
    • Select any Taxes to apply by default.
    • Pick a Quantity Label if needed.
  4. Tap Add Item to save.

Your new item will appear in the Items tab of the Catalog screen.
