How to create a new invoice?

You can create a new invoice using the following steps in InvoiceOwl:

  1. Click Invoices in the left sidebar.
  2. Click the New Invoice button in the top right corner.
  3. Search for and select the client you want to invoice. You can also click + Add new client to create one on the spot.
  4. After selecting a client, the full invoice form opens. Fill in the details:
    • Invoice Date and Payment Terms (which automatically sets the due date)
    • Line Items -- type an item name to search your catalog or enter a new one. Each line item has a name, description, type (Parts, Labor, or Other), quantity, and rate.
    • Deposit, Markup, and Discount fields are in the totals section below the line items.
    • Notes for Client and Internal Notes in the right sidebar.
    • Attachments -- upload files using the attachment area in the right sidebar.
    • Payment Methods -- toggle Card and ACH/Bank payments on or off.
    • Shipping -- enable shipping and enter fee, ship date, carrier, and tracking number.
    • Contract & Signatures -- optionally select a contract template and configure signature requirements.
  5. Your invoice auto-saves as a draft while you work.
  6. When ready, click Send in the right sidebar to send it to your client, or click Done to keep it as a draft.

On the Mobile App

  1. Tap the Invoices tab at the bottom of your screen, then tap the + button in the top right corner. You can also tap the center + button on the tab bar and choose Invoice.
  2. Pick a client by searching or tapping a name from the list. Tap + Add new client if you need to create one first.
  3. Fill in your invoice details:
    • Tap Add Item to add line items. Search your catalog or type a new item name.
    • The date, payment terms, and due date are shown at the top -- tap any of them to change.
    • Scroll down and tap More Options to add a deposit, markup, discount, notes, shipping, or contract template.
  4. Your invoice auto-saves as a draft while you work.
  5. When ready, tap Send to sign (if needed) and send the invoice to your client, or tap Save to keep it as a draft.
