How to add/edit item details in invoice?

You can add and edit item details directly in the invoice line items table:

  1. Click Invoices in the left sidebar and open the invoice.
  2. Click Edit to open the invoice editor.
  3. In the Line Items table, each row has the following editable fields:
    • Item Name -- type to search your item catalog or enter a custom name. Click an item from the dropdown to auto-fill details.
    • Description -- add a description below the item name to explain the work or product.
    • Type -- select Parts, Labor, or Other from the dropdown. This categorizes the item for reporting and markup calculations.
    • Quantity -- enter the number of units.
    • Rate -- enter the price per unit.
    • Amount -- calculated automatically (Quantity x Rate). This field is not editable.
  4. To add taxes to individual line items, click + add tax below the rate field (when using per-line-item tax mode). Select an existing tax or create a new one.
  5. Changes you make to item details on an invoice only affect that invoice. They do not change the item in your catalog.

Editing rate and quantity on the invoice is independent of your catalog. The catalog values are defaults that populate when you select an item, but you can change them for any specific invoice.

On the Mobile App

  1. Open an invoice from the Invoices tab and tap the Edit icon.
  2. Tap an existing line item to open the item editor, or tap Add Item to add a new one.
  3. On the item editor screen, you can edit:
    • Item Name -- search your catalog or type a custom name.
    • Description -- add details about the work or product.
    • Type -- choose Parts, Labor, or Other.
    • Quantity and Rate -- the amount calculates automatically.
  4. Tap Done to save changes and return to the invoice.

Editing item details on the invoice does not change the item in your catalog.
