How do I add a line item to my invoice?

Adding line items to an invoice in InvoiceOwl is straightforward:

  1. Click Invoices in the left sidebar and open an existing invoice or create a new one.
  2. In the Line Items section, you will see a table with columns for Item, Type, Qty, Rate, and Amount.
  3. Click on the Item name field and start typing. A dropdown appears showing items from your catalog that match your search.
    • Select an item from your catalog to auto-fill the name, description, rate, and quantity.
    • Or click + add new item to catalog to create a new catalog item.
    • You can also just type a custom item name directly.
  4. Fill in or adjust the Description, Type (Parts, Labor, or Other), Quantity, and Rate. The Amount calculates automatically.
  5. Click Add item below the table to add another line item row.
  6. To remove a line item, click the X button on the right side of the row.
  7. Drag items using the grip handle on the left to reorder them.

Sections and Bundles:

  • Click Add section below the line items to organize items into named groups (useful for breaking work into phases).
  • Click Add bundle to add a pre-configured group of items from your bundles library.
  • Sections can be reordered by dragging, and items can be moved between sections.

On the Mobile App

  1. Open an invoice or create a new one from the Invoices tab.
  2. Tap Add Item in the line items area.
  3. Search your catalog by typing an item name, or enter a new item directly.
  4. Fill in or adjust the Description, Type (Parts, Labor, or Other), Quantity, and Rate. The amount calculates automatically.
  5. Tap Done to save the item and return to the invoice.
  6. Tap Add Item again to add more line items.
  7. To edit an existing item, tap on it in the list. To remove it, tap the Delete button on the item editor screen.
