How to Import Data in 3 Easy Steps

You can import clients from a CSV or Excel (.xlsx) file. This is helpful when you are moving from another app or have a spreadsheet of client contacts.

Step 1: Upload your file

  1. Click Clients in the left sidebar.
  2. Click the Upload Clients button in the top-right corner of the page.
  3. A full-screen import page will open. Drag and drop your file into the upload area, or click the area to browse for your file.
  4. Your file must be a CSV or Excel (.xlsx) file.
  5. If you need a file to start from, click Download CSV template below the upload area to get a ready-made template with the correct columns.
  6. Click Continue to move to the next step.

The expected columns in your file are: Name (required), Company, Email, Phone, Website, Address, and Billing Address. Only the Name column is required -- all others are optional.

Step 2: Review the data

  1. InvoiceOwl will show you a preview of every row in your file. Each row is marked as Valid, Warning, Error, or Duplicate.
  2. You can click on any row that has a warning or error to see more details about the issue.
  3. If duplicates are found, you can choose how to handle them:
    • Skip duplicates -- do not import them.
    • Update existing clients -- overwrite the existing client records with the new data.
    • Create as new clients -- add them as separate client records.
  4. Click Import to bring in all valid clients.

Step 3: Done

  1. InvoiceOwl will show you a summary of how many clients were created, updated, and skipped.
  2. If any rows had errors, they will be listed so you can fix your file and try again.
  3. Click Done to close the import screen and return to your clients list.

Your imported clients will appear in the clients list right away.
